Getting paid is the whole point of doing the work. But a poorly written invoice โ missing details, unclear payment terms, no payment link โ is one of the top reasons freelancers wait weeks to get paid.
Here’s exactly what to put on every invoice.
1. Your Business Details
Your name or business name, address, email, and phone number. This goes at the top. Clients need to know who to pay and how to reach you if there’s a question.
2. Client Details
The client’s full name or company name and billing address. Essential for their accounting department to process payment.
3. Invoice Number
Every invoice needs a unique number. Use a simple system like INV-001, INV-002. This makes it easy to reference a specific invoice in emails and helps you track payments.
4. Invoice Date and Due Date
The invoice date is when you issued it. The due date is when you expect payment. Net-15 (15 days) is reasonable for most freelance work. Net-30 is common but slower โ use it only if the client requires it.
5. Clear Line Items
List each service or deliverable with a description, quantity, rate, and total. Be specific: “Website homepage design โ 8 hours @ $95/hr” is better than “Design work.”
6. Tax (if applicable)
