For agencies
Multi-project, multi-client agencies need clear separation. Here's how.
Recommended setup
- Branding: Use your agency logo and colors. Pick the Modern or Classic template — they look most agency-like.
- Numbering:
{CLIENT}-{YEAR}-{SEQ}— gives you e.g. ACME-2026-001 — instantly tells you which client it's for - Catalog: Save your service tiers ("Brand strategy package," "Monthly retainer — Standard," etc.)
- Recurring invoices: Set up monthly retainers — they auto-bill every 1st of the month
- Bank details: Most agency clients pay by wire transfer for large amounts — make sure IBAN + SWIFT are filled in
Project-based vs retainer billing
| Type | Setup |
|---|---|
| One-time project | Standard invoice. Maybe 50% deposit + 50% on completion. |
| Monthly retainer | Recurring invoice (monthly), same amount each cycle. |
| Hourly billing | Standard invoice with hours x rate as line items. |
| Performance-based | Standard invoice based on KPI achieved. |
Tracking by client
Click any customer in the Customers list to see all invoices, payments, and total revenue from that client. Useful for quarterly reviews and lifetime value tracking.
Multiple team members
Currently each Invoicely account is single-user. For team accounts (multiple agency staff sending invoices from the same brand), share login credentials with team members. Multi-user team support is on the roadmap.
